Microsoft Copilot for project management: status, risks, minutes and a PM agent

Project management runs on information scattered across email, Teams chats, meeting recordings and a dozen files. That is where Microsoft 365 Copilot helps most: it can see across them, within your permissions, and pull the pieces together.

Status reports

Draft this week's status update for [project] from my emails,
Teams chats and files since Monday. Format: Done, Next, Blocked,
with RAG status and one line per item. Flag anything where you
found conflicting information.

Risk log

Review the last two weeks of messages about [project] and list
potential risks that are not in the attached risk log. For each:
description, likely impact, suggested owner, and the source
message.

This catches the risks people mention in passing in a chat and never formally raise.

Meeting minutes

From this meeting, list decisions, actions with owner and due
date, and risks raised. Then draft a follow-up email to
attendees. If an action has no owner, list it separately.

Planning

Turn [brief document] into a draft project plan: phases,
milestones, dependencies, and a RACI for [roles]. Mark any
dependency you are unsure of with [CHECK].

What questions should I ask the sponsor before kick-off, based
on gaps in [brief]?

Stakeholder updates

Rewrite this status report for the steering committee: three
lines of headline, the one decision we need from them, and the
top two risks. Under 150 words.

Build a project manager agent

When you run the same prompts every week, turn them into an agent. Instructions to start from:

You support the project manager on [project]. You produce weekly
status updates, risk reviews, meeting follow-ups and steering
committee summaries.

Use the attached project plan, risk log and RACI as the source
of truth. Format status as Done / Next / Blocked with RAG.

Never: invent dates or owners, mark anything green without
evidence, or share details outside the project team.

Attach the plan, risk log and RACI as knowledge. Step-by-step setup is in how to create a Copilot agent.

Where to be careful

  • RAG status is a judgement. Copilot can suggest; you decide.
  • It only sees what you can see. Missing context from other teams will not appear.
  • Check dates. Summaries can merge an old deadline with a new one.

Questions people ask

Can Copilot replace project management software?

No. It helps with the writing and synthesis around your tools, not the scheduling and tracking they do.

Does Copilot work with Planner or Project?

Integration varies by product and licence. Check what your organisation has enabled.

What are the best Copilot prompts for project managers?

The weekly status and hidden-risks prompts above usually save the most time.
