Microsoft's Copilot prompt gallery is full of examples, and most people scroll it once and never return. The prompts that stick are the ones tied to something you do every week. Here are 24, grouped by app, each written to be saved and reused.
How to save prompts
In Copilot chat you can save a prompt you have written so it appears in your own prompts area of the gallery, and in some organisations share it with your team. Exact menus change between updates; look for the save or bookmark option next to a prompt you have sent.
Outlook
1. Summarise this thread: decisions, open questions, and what
is being asked of me.
2. Draft a reply that agrees to [X], declines [Y], and proposes
[Z]. Under 120 words.
3. What emails from the last week need a reply from me and
have not had one?
4. Rewrite my draft to be shorter and firmer, same meaning.
Teams
5. Recap this meeting: decisions, actions with owners, and
anything left unresolved.
6. What did people say about [topic] in this meeting?
7. Summarise what I missed in [channel] since Monday.
8. List the actions assigned to me across this week's meetings.
Word
9. Draft a one-page brief for [project] using [file] as the
source.
10. Summarise this document in five bullet points for a
senior reader.
11. Find anything in this document that contradicts [file].
12. Rewrite this section for a non-specialist audience.
Excel
13. What are the three biggest changes in this data versus last
month?
14. Add a column that calculates [metric] from [columns].
15. Highlight rows where [condition].
16. Create a chart showing [metric] by [dimension].
PowerPoint
17. Create a ten-slide deck from [document], one idea per slide.
18. Summarise this deck into three key messages.
19. Add speaker notes to each slide, under 60 words each.
20. Rewrite the slide titles as full-sentence takeaways.
Copilot chat (across your work)
21. Prepare me for my meeting with [person]: recent emails,
shared files and open items.
22. What is the latest on [project] across email, chats and
files?
23. Draft my weekly update from what I worked on this week.
24. Find the file where we agreed [decision].
Make any prompt better
Add three things: the audience, the length, and the source. "Summarise this" becomes "Summarise this for the finance director in five bullets, using only the attached file." That one habit improves results more than any clever wording.
Questions people ask
Where is the Copilot prompt gallery?
It is available from Copilot chat in Microsoft 365, usually via a link to view prompts or through the Copilot app. Availability depends on your licence and admin settings.
Can I share prompts with my team?
Some organisations allow team sharing of saved prompts. If you do not see the option, it may be switched off by your admin.
What is the best Copilot prompt?
For most people, the meeting recap and the "what needs a reply from me" prompts save the most time per week.
Where to take this next
When a prompt becomes routine, turn it into an agent. See how to create a Copilot agent and eight Copilot agent examples. The Pack includes a Copilot install path built around your role.
