Appraisal forms rarely ask for an essay. They give you six boxes and a character limit, and each box wants two or three sentences that are specific enough to mean something.

"What were your key achievements?"
Launched the new client portal on time in May. Support tickets
about account access fell by about a third in the following
quarter.
Took over the supplier contracts in Q2 and renegotiated three
renewals, saving [amount] a year.
Trained four new team members on our reporting process; all
four now run the monthly report without help.
"What are your main strengths?"
Turning messy requests into clear plans. Colleagues bring me
half-formed briefs and I usually return a scoped plan within a
day.
Staying calm with difficult clients. I handled the [client]
escalation in March and they renewed in September.
Attention to detail on numbers. No errors found in the
quarterly figures I prepared this year.
"What areas would you like to improve?"
Delegating. I still do too much myself when deadlines are tight.
I have started handing over [task] and want to do the same with
[task] next quarter.
Presenting to senior audiences. I would like to lead the
quarterly update at least twice next year.
Forecasting. I understand the numbers but want more confidence
building the model from scratch.
Pick something real, already in progress, and not central to your core job. That combination reads as self-aware rather than risky.
"What support do you need?"
Access to the [tool] training course in Q1.
A regular 30-minute check-in with [senior person] while I take
on [new responsibility].
Clearer priorities when requests from [team A] and [team B]
conflict; a single point of escalation would help.
"What are your goals for next year?"
Own the renewals process end to end, including budget
discussions with finance.
Cut report turnaround from five days to three by automating the
data pull.
Mentor one new starter through their first six months.
"Overall comments"
A strong year overall. The portal launch and supplier savings
were the highlights; delegation is the thing I most want to get
better at. I would like to discuss taking on [responsibility]
next year.
Use the overall box to state your ask. It is the line your manager is most likely to quote upward.
Comments to avoid
- "I am a hard worker and a team player." True of everyone who fills in the form.
- "I have no areas for improvement." It reads as a lack of self-awareness.
- "I would have done more if [colleague] had..." Save it for a separate conversation.

How long should each self-appraisal comment be?
Two to four sentences per box. If there is a character limit, lead with the result and cut adjectives first.
Should I use bullet points?
If the form allows them, yes, for achievements and goals. Use sentences for strengths and improvements, where tone matters more.
Can I reuse last year's comments?
Reuse the structure, never the content. Managers notice.
